Employee activity tracking software

See where the working day actually goes.

Most managers can account for attendance and output, but not for the hours in between. BeActive measures the whole day — active time, idle time, applications used, shifts worked, time away from the system — and shows it to managers and to employees alike.

Why BeActive

Three things that make this different

The category has a deserved reputation problem. These are the decisions that separate us from it.

The whole day, not just the keyboard

Meetings, phone work and site visits are real work. Most tools count them as a gap. We classify away-from-system time instead of penalising it — which is why this suits phone-heavy and hybrid teams.

Every employee sees their own data

On by default and not removable. The same day view their manager sees, plus a visible indicator whenever the agent is running. There is no covert mode, because a tool that can be run covertly eventually is.

Shifts and rosters are built in

Rotating shifts, split shifts, multiple sites and separate time zones are first-class concepts, not a spreadsheet bolted onto a project timer. We needed that ourselves before we sold it to anyone.

How it works

From install to a decision worth making

No timers to start, no weekly reconstruction, and nothing that depends on anyone remembering anything.

  1. Install Roll the agent out with your existing MDM, or let people install it themselves.
  2. Measure Tracking starts at login. Nobody has to remember to press anything.
  3. Classify Active, idle, meeting and away time separated against your own thresholds.
  4. Decide Weekly and monthly patterns, not a daily leaderboard.

The visibility gap

Logged in for nine hours is not the same as worked for nine hours

That gap is where operational problems hide, and where every capacity, billing and staffing decision quietly goes wrong. BeActive separates active time from idle time from time away from the system — so the difference stops being invisible.

  • Idle thresholds you set, per team
  • Meetings detected from the calendar, not counted as absence
  • Away-from-system time classified rather than penalised

Patterns, not snapshots

A single day tells you almost nothing

What is worth acting on is a sustained change: one person's pattern shifting, a whole team's idle time rising together, or a quiet hour that turns out to be a handover nobody owns. Weekly and monthly views make those visible; a daily leaderboard just makes people anxious.

Where we stand

Monitoring people can see is monitoring people accept

Most of this category's reputation problem comes from tools built to be used covertly. We took the opposite position, and it costs us deals we are content to lose.

These are not settings an administrator can switch off. They are limits on what the product is able to do.

  • No keystroke logging — not as a setting, not at all
  • No webcam access and no private message reading
  • No covert mode: the agent is always visible to the user
  • Screenshots optional, off by default, and disclosed when on
  • Domain-level web tracking only, never full URLs or page content
  • Tracking restrictable to working hours and shifts
  • Every employee gets their own dashboard by default

From deployments

What people say once the data lands

Anonymised at the customers' request. We do not publish named references, logos or third-party review badges we have not earned.

We cut our daily stand-ups to twice a week. The dashboard already answered the question we were holding the meeting to ask.
Operations Lead
Distributed support team, 40 people
Two retainers were running at roughly half the hours we were billing, and one at nearly double. We had been guessing in both directions.
Managing Director
Creative agency, 25 people
Client audits used to cost us a week of manual collation. It is now a scheduled export we do not think about.
Delivery Manager
BPO, 300+ seats across two sites
We were planning on eight-hour days. The data said four and a half hours of focus time. Our estimates stopped missing after that.
Engineering Manager
Product team, 18 engineers
It was not a people problem, which is what everyone assumed. It was two handovers where nobody owned the queue.
Operations Director
BPO, 320 seats across two sites
The number that changed the conversation was not productivity. It was hours per account, which we had never actually measured.

We told the team up front that nobody would be ranked on this. That is the only reason it worked.

Case study

What actually changed, with numbers

BPO · 320 seats

A contact centre found nine per cent of paid hours it could not account for

The gap between paid and productive hours came out at nine per cent, concentrated in two specific shift handovers rather than spread across staff. Fixing the handover process recovered most of it. Client audit packs are now a scheduled export.

Frequently asked questions.

Clear answers about setup, privacy, security and what employees can see, so you can evaluate BeActive with confidence.

Is employee monitoring legal?

In most jurisdictions, monitoring work activity on company equipment during working hours is lawful when employees are informed. What varies is the notice and consent required. In Australia, state surveillance-devices legislation and the Privacy Act apply; in the EU, GDPR requires a lawful basis and usually a data protection impact assessment. We build for informed monitoring and provide the employee-facing transparency that most regimes expect, but this is not legal advice — check your obligations for the countries you employ in.

Does BeActive log keystrokes?

No. We record that input activity occurred, never what was typed. Keystroke content is not captured, stored or transmitted at any point, and there is no setting that turns it on.

Can employees see their own data?

Yes, and it is on by default. Every person gets the same day and week view their manager sees, and the desktop agent displays a visible indicator whenever tracking is active.

Do you take screenshots?

Only if an administrator explicitly enables the optional screenshot feature for a team, which is off by default. When enabled, employees are told, images can be blurred, and the capture interval is configurable.

Can we monitor outside working hours?

Tracking can be restricted to defined working hours and shifts, and we recommend doing so. A private mode also lets people exclude defined periods entirely.

What do you refuse to build?

Keystroke content capture, webcam access, private message reading, and covert monitoring that hides itself from the person being monitored. These have been asked for and declined.

How is BeActive installed?

A lightweight desktop agent for Windows and macOS, deployable manually or through your existing MDM or Group Policy. A typical team is live the same day.

What does the agent record?

Login and logout times, periods of input activity and inactivity, application names and website domains, and meeting status where a calendar is connected. Not page contents, keystrokes, message bodies or files.
